General Features


Does ContractSpot charge a membership fee?

Membership is FREE for both customers and service pros. You will never be charged for being a member of ContractSpot.

How do I sign up?

Signing up is fast and FREE. Simply follow this link.

Is ContractSpot available for use outside of the U.S.?

ContractSpot's system is designed for use within the U.S. Many features are accessible for use outside of the U.S., but you will not be able to send or collects payments outside of the U.S.

Does ContractSpot support multiple currencies?

ContractSpot currently only supports U.S. currency. You must have a U.S. bank account to send or collect payments in our system.

Which internet browsers are compatible with ContractSpot?

I.E. 6.0+ and Firefox are fully compatible. Safari may have a few issues still being resolved.

I lost my username and/or password, what do I do?

You can search for your username and/or password by following this link.

 

What is an invitation code, and what do I do with it?

If you received an invitation code by email, in person, or by mail simply go to ContractSpot and login as a service pro.

 

Once logged in as a service pro:

1.       Go to your 'Customers' tab.

2.       Click on your 'My Customers' tab.

3.       Click the 'Enter Invitation Code' button.

4.       Type the code in, then click the 'Enter' button.

 

The customer who gave you an invitation code should now be present in your customer list.

What marketing opportunities does ContractSpot offer to service pros?

ContractSpot offers service pros many great marketing opportunities, most of them for free. Marketing tools include a website with custom domain name, leads, company articles, becoming featured, special promotions, personalized quotes and invoices, and more. Learn more here.

 

What is the deal with FREE leads, how is this possible?

FREE leads are possible. ContractSpot's service pros will never be charged for leads. Charging for leads is not what we believe. Since we do not pay outside agencies to generate leads for ContractSpot, we open the floors for a first come, first serve basis. All leads generated through ContractSpot are from our customers only. Through this method, ContractSpot believes the leads we offer will be more accurate than other online sites.

 

How do I setup a website, and how much does it cost?

Setting up a website with your own custom domain name is fast and FREE for service pros.

 

Once logged in as a service pro:

1.       Go to your 'Marketing' tab.

2.       Click on your 'Website' tab.

 

From here you can create a custom domain name (e.g. paulspaint.contractspot.com). You can also select from a series of templates we offer.

 

Populating your website with all of your company information is the easiest part, because we do it for you. The information you supplied when creating your ContractSpot account will be automatically displayed on your custom website now.

 

What is the territory, and how does it affect me?

Your territory refers to your working radius. This mileage is the amount of distance you are willing to travel to perform your services. This radius is indicative of the amount of leads you will receive. Only leads in your territory will become available for you to see.

 

To update your territory once logged in:

1.       Click on your 'Home' tab.

2.       Click on your 'Territory' tab.

3.       Enter your territory central zip.

4.       Select your radius.

5.       Click the 'Update Territory' button.

 

 

How do I upload company photos?

Uploading company photos is a great way to advertise your services.

 

 In order to upload photos once logged in:

1.       Go to your 'Marketing' tab.

2.       Click on your 'Photos' tab.

3.       Click the 'Add New' button.

4.       Click the 'Browse' button to search your local hard disk drive.

5.       Click the 'Upload Photo' button.

 

There is a limit of 2MB for each photo you upload, and they must be in .jpg or .gif formats. This is designed to improve page load times. If you have a custom domain name through ContractSpot, these photos will be displayed on your website. Uploading photos is FREE.

 

How do I upload my project photos?

Uploading your project photos is a great way to provide additional information for service pros to evaluate projects. Photos attract service pros interested in the project, and eliminate those who are not.

 

In order to upload photos after logging in as a customer:

1.       Go to your 'Projects' tab.

2.       Click on your 'My Projects' tab.

3.       Click on the link for your project name.

4.       Click on the 'Project Photos' button.

5.       Click on the 'Add Photos' button.

6.       Click the 'Browse' button to search your local hard disk drive.

7.       Click the 'Upload Photo' button.

 

There is a limit of 2MB for each photo you upload, and they must be in .jpg or .gif formats. This is designed to improve page load times. Uploading photos is FREE.

 

How do I upload company articles?

Uploading your company articles is a great way to provide additional information to customers about the services you offer and their benefits. Articles add credibility to your expertise and knowledge.

 

In order to upload articles after logging in as a service pro:

1.       Go to your 'Marketing' tab.

2.       Click on your 'Articles' tab.

3.       Click the 'Add New' button.

4.       Fill out the form with your article information.

5.       Click the 'Submit Article' button.

 

If you have a custom website through ContractSpot, these articles will be available on your website for customers to view. Uploading articles is FREE.

 

How do I become a 'Featured' service pro, and what are the costs?

Becoming a 'Featured' service pro through ContractSpot is a great way to gain maximum exposure through our search engine. When customers search our vast database of service pros, 'Featured' service pros will hold precedent over all other search results. This means your  company will be at the top, and therefore customers are likely to choose these results before others.

 

To become featured:

1.       Click on your 'Marketing' tab.

2.       Go to your 'Get Featured' tab.

 

From here you will be able to select which categories you want your company to be featured in. The costs per category vary, typically ranging from $10-15 per month, depending on your territory working radius. This fee can be setup on a recurring basis and changed at any time.

 

 

Payments

 

What payment types can I use to pay my invoice?

Service pros using ContractSpot can accept Visa, Mastercard, and ACH (or eCheck) payments. ACH payments are those payments which are withdrawn directly from your bank account.

 

What fees are associated with accepting payments?

Service pros accepting payments through ContractSpot will incur a 3% + $0.40 transaction fee on each invoice paid. This fee can be considered as a business expense for most companies; therefore, it can be written off for taxes by service pros at the end of the year.

 

Can I pay a partial amount my invoice?

Yes. You have the ability to place any figure in the pay amount field. Your invoice status will be marked as 'Partially Paid', until the entire amount has been paid. You may incur additional fees by your service provider if the entire payment is not received on time, which by no means if affiliated with ContractSpot.

 

 

Invoices

 

Can I dispute my invoice?

Yes. To dispute an invoice, open the invoice by:

1.       Going to your 'Invoices' tab.

2.       Go to your 'My Invoices' tab.

3.       Open the invoice you wish to dispute, then click the 'Dispute' button.

4.       Fill out the explanation for your dispute, then click the 'Yes, dispute invoice' button.

Can I pay a partial amount my invoice?

Yes. You have the ability to place any figure in the pay amount field. Your invoice status will be marked as 'Partially Paid', until the entire amount has been paid. You may incur additional fees by your service provider if the entire payment is not received on time , which by no means if affiliated with ContractSpot.

 

Can I put my company logo on my invoice?

Yes. Upload your company logo by:

1.       Click on your 'Marketing' tab.

2.       Click your 'Logo' tab.

3.       Click on the 'Update' button.

4.       Click browse to search your local hard disk drive.

5.       Click the 'Upload Logo' button.

 

This logo will now be displayed on your invoices.

 

How do I mark an invoice paid that was not sent through ContractSpot?

When an invoice is not paid through ContractSpot, you can still mark it as paid:

1.       Go to your 'Invoices' tab

2.       Click on your 'My Invoices' tab.

3.       Select the invoice(s) you want to mark as paid by check the boxes.

4.       Click the 'Mark Paid' button.

 

This will move the invoices you marked as paid to your 'Paid Invoices' tab.

 

What is a recurring profile?

Recurring profiles refer to customers of service pros that are billed on a recurring basis. This alleviates service pros from having to invoice their clients repeatedly for a service that is performed numerous times within a specified period of time.

 

Do my customers need an account to view quotes or invoices I have sent?

No. You can email a quote or invoice to a customer. They simply need to click a link in their email to view the quote or invoice. This link will update your quote or invoice status (i.e. sent, viewed, etc.) Your customers will need to sign up if they wish to manage your invoices through our system.

 

How do I apply a discount to an invoice?

Applying discounts to invoices is currently achieved by placing a negative value for the unit cost. Be sure to place a value in the quantity box.

 

How do I apply tax to an invoice?

Tax is calculated on a per item basis for each invoice. This is done because some items can be taxed in certain situations, others not. To avoid taxing the entire invoice with one tax percentage, each item needs its own separate tax box.

 

Customers

 

What is the point of archiving a customer?

Archiving a customer can be useful when you have not performed work for this person for a period of time. You do not want them in your current 'My Customers' list, possibly because the list is getting too long. This can save time scrolling through your customer list when preparing quotes or invoices, and eliminate possible errors.

 

After some time, you decide to perform a service for your archived customer. You can simply bring them back into your current 'My Customers' list. The process can be repeated for older customers then too.

Can I export my customer list?
